Franchise interest is a mood as much as a plan. The candidate who enquired at 8pm on Tuesday is warm at 8pm on Tuesday. By Thursday they have talked to two competitors, cooled on the idea, or both. Response time is the cheapest competitive advantage available to you — here is how to actually get it down.
Measure it first
Most consultants believe they respond quickly and have never timed it. Pick your last twenty leads and record the gap between arrival and first real contact attempt. The number is usually hours, sometimes days, and almost never what you assumed. You cannot fix what you have not measured.
Fix the delivery, not just the dialling
Slow response is usually a delivery problem wearing a dialling costume. Leads that land in a portal you check twice a day, or in a weekly spreadsheet, are stale before you had a chance. Insist on real-time delivery with a text and email notification the moment a lead arrives. If your lead source cannot do that, the source is the bottleneck.
Match lead flow to your capacity
A lead you cannot call today is a lead you should not have received today. Set delivery rules with your source: specific days, and minimum and maximum leads per day or week. Ten leads on a day you can make ten calls beats thirty leads on a day you can make five — the surplus just ages expensively.
Build a five-minute drill
When the notification arrives:
- Call within five minutes. Not an email — a call. The candidate just raised their hand; be the first voice they hear.
- Text if no answer. A short, human text ("Just got your enquiry about franchise ownership — when's good for a quick call today?") keeps you first in line.
- Email third, with two specific times offered, not "let me know when works."
- Log the attempt so the follow-up cadence starts automatically.
Pre-write everything
Response time dies in composition. Write your first-call opener, your first text, and your first email once, and store them where you can fire them in seconds. The goal is that a new lead never requires an original thought before contact.
